Property Maintenance and Security

We have developed systems and a contractor network to address property maintenance, repairs and recommended rehabilitation. We ensure that all major mechanical systems remain in place during any pre-marketing and rehabilitation of the Property until it is sold.

ü  Within 24 hours of assignment, we obtain a minimum of two competitive bids from licensed contractors for initial and on-going services, including landscaping, cleaning, ongoing maintenance and any repair and recommend rehabilitation issues.

ü  Our contractors are instructed to inspect the property during each landscaping / on-going maintenance visit, verifying that all major systems are operational.

ü  Our contractors submit three before and after pictures supporting each invoice for services.

  Property Inspections

Our team performs periodic inspections at different times of the day, week, and month to ensure that the site remains properly maintained and secured from intrusion and vandalism during the rehabilitation and until it is sold or rented.

ü  Within 24 hours of receiving an asset, we post a minimum of three notices on the property, warning against vandalism and intrusion. Our notices advise the reader that the property is actively managed and observed and routinely monitored for unauthorized access.

ü  A team member personally inspects each property we manage a minimum of twice per week, rotating the day and time of day each week. We refresh all notices, remove door debris, check that all windows and doors are secure and take current pictures for our files.

 Asset Management Department

We maintain all appropriate property records, files and expenses; ensuring timely and complete submission of all required reports and information requests.

ü  Our team utilizes REO Maestro software to efficiently manage all aspects of our asset management workflow. This program fully integrates with Quickbooks and exports to Excel to produce any required report and information requests.

ü  Each property has a full communication record, complete with all documentation, marketing updates, pictures, invoices, receipts, and proof of payment.

ü  We have a full-time Certified Public Accountant (CPA) on staff to supervise asset management, ensure compliance to documentation requirements, and perform internal audits of financials.

ü  Our systems fully integrate with Res.net, REOTRANS and other industry software to deliver accurate reports on any platform.

ü  Our offices are meticulously organized with both a hard office file and soft PDF versions of all supporting documents organized using the industry’s most effective software solutions:

o   WINForms online software to produce CAR-approved Real Estate forms.

o   WINForms syncs to RELAY Transaction Management to manage forms, pending signatures, loan approval, inspections, contingency removal dates for both seller and buyer’s agents.

o   REO Maestro adds the Asset Management integration, adding a layer of transaction management for maintaining, monitoring, and tracking properties through the entire process from acquisition to rehabilitation to marketing to closing.

o   REO Maestro is fully integrated with Quickbooks Accounting Software and tracks every invoice, matching the invoice with proof of payment and before/after pictures to allow for absolute transparency and accountability to our asset managers and sellers.
